Digital Classroom Privacy Policy
Version: 1.0
Effective date: 21 September 2026
Last updated: 21 September 2026
1. About Digital Classroom
Digital Classroom is an independently developed educational platform created and administered by Prof. Pankaj Goyal for teaching, learning, course administration, communication, and digital attendance in courses taught through the Department of Biotechnology, Central University of Rajasthan.
The platform was developed in response to practical challenges associated with managing attendance and related teaching activities, particularly in large classroom settings.
Digital Classroom is presently administered by Prof. Pankaj Goyal for his academic teaching activities. It should not be interpreted as a university-wide official information system unless it is formally adopted, designated, or integrated as such by the Central University of Rajasthan.
The Goyal Lab may appear in visual branding as Prof. Pankaj Goyal's academic research-laboratory identity. It is not a separate legal or administrative operator of Digital Classroom.
2. Purpose of this Privacy Policy
This Privacy Policy explains what information may be processed through Digital Classroom, why it may be processed, how it may be used, and how users may raise questions or concerns.

Only information reasonably necessary for legitimate teaching, course administration, platform security, attendance management, or related academic purposes should be collected or used.
4. Purposes for which information may be used
- Provide access to courses and teaching materials;
- Identify and authenticate users;
- Manage course enrolment;

- Maintain teaching or administrative records where reasonably necessary.
Information collected for Digital Classroom is not intended to be sold or used for targeted advertising.
5. Digital attendance information
Attendance may be recorded electronically using Moodle and the Attendance activity. An attendance transaction may contain student identity, course, class/session, attendance status, date and time, authentication information associated with the Moodle session, and relevant technical logs.
The separate Digital Attendance Notice provides more detailed information.
6. Automated processing and instructor oversight
Digital Classroom may automatically record technical events such as login activity, timestamps, activity completion, and attendance submissions. A valid attendance submission may automatically generate an attendance status according to configured session rules.
Digital Classroom is not intended to make disciplinary or other significant academic decisions solely through automated processing. Attendance irregularities, disputes, suspected misuse, and consequential academic decisions remain subject to instructor or competent University review.
7. Cookies and authentication
Moodle uses cookies and related session mechanisms required for authentication, maintaining login sessions, security, and normal operation of the platform. These mechanisms are intended primarily to provide platform functionality rather than targeted advertising.
8. Hosting and technical service providers
Digital Classroom is hosted on third-party web-hosting infrastructure. The hosting provider may process technical information necessary for hosting, security, backups, network operation, and service delivery.
Moodle is the software platform used to operate Digital Classroom. If additional external services—including analytics, artificial intelligence services, plagiarism services, external repositories, or authentication providers—are introduced later, this Policy will be reviewed and updated where appropriate.
9. Disclosure and access
Access to student and user information should be limited to persons who reasonably require it for teaching, technical administration, academic administration, security, or another legitimate purpose.
Information may also be disclosed where required by applicable law, a competent authority, applicable University procedure, a legitimate security investigation, or resolution of an academic or attendance dispute.
10. Data retention
Attendance, enrolment, course-activity, and related educational records will be retained for the period reasonably necessary for teaching, attendance verification, academic administration, resolution of disputes, applicable University requirements, or legal obligations.
Where information is no longer reasonably required, it should be deleted, anonymized, or otherwise handled appropriately. A more specific retention schedule may be adopted where University requirements or operational experience establish appropriate periods for particular categories of information.
11. Security
Reasonable technical and organizational precautions are used to protect Digital Classroom and the information processed through it. These may include authenticated user accounts, password protection, HTTPS encryption, access controls, server and application updates, activity logging, backups, role-based permissions, and security monitoring where appropriate.
No online information system can guarantee absolute security. Users must protect their own login credentials and must not provide their passwords to another person.
12. Security incidents
Where a material security or personal-data incident is identified, appropriate steps will be taken to contain and investigate it, protect affected users, preserve relevant records, and make notifications where required by applicable law or University procedure.
13. Accuracy and correction of information
Users who identify inaccurate personal or course-related information should report the issue promptly. Where appropriate and technically possible, inaccurate information may be corrected after verification.
14. User requests
Users may contact the Platform Administrator regarding questions about personal information, correction of inaccurate information, privacy concerns, account-security concerns, suspected unauthorized access, or access/deletion requests where applicable.
Such requests may be subject to academic-record requirements, applicable University procedures, and applicable law.
15. Students below 18 years
Where Digital Classroom is used by an individual below 18 years of age, processing of personal information will be handled in accordance with applicable legal and institutional requirements concerning children and minors.
16. Applicable data-protection framework
Digital Classroom is being configured with reference to the privacy, transparency, security, data-minimisation, grievance-redressal, and user-rights principles reflected in India's Digital Personal Data Protection Act, 2023 and Digital Personal Data Protection Rules, 2025. Because those provisions have a phased statutory commencement, any statutory rights or obligations referred to in this Policy apply according to the provisions legally in force at the relevant time.
17. Changes to this Policy
This Policy may be revised where necessary because of changes to Digital Classroom, introduction of new Moodle features or plugins, legal developments, University requirements, changes in hosting or external services, or identified privacy or security needs.
The current version and effective date will be displayed with the Policy. Material changes may require renewed acknowledgement through Moodle.

Summary
This notice explains how electronic attendance, including time-limited and rotating QR attendance, may be recorded, what information may be associated with attendance, student responsibilities, prohibited proxy attendance, technical limitations, and how attendance discrepancies may be reviewed.
Full policy
Digital Attendance Notice
Version: 1.0
Effective date: 21 September 2026
1. Purpose of the digital attendance system
Digital Classroom's attendance functionality was developed to address practical difficulties associated with managing attendance in large classroom settings. Its objectives are to make attendance recording more efficient, timely, transparent, less dependent on manual processing, less susceptible to transcription error, and more resistant to proxy attendance or unauthorized recording.
The system remains subject to instructor oversight.
2. How attendance may be recorded
Depending on the course and session, attendance may be recorded through instructor entry, authenticated student self-recording, a time-limited attendance session, QR code, rotating QR code, session password, or another Moodle Attendance mechanism approved by the instructor.
3. Information associated with attendance
An electronic attendance record may include student identity, course, scheduled session, attendance status, submission timestamp, Moodle account information associated with the submission, and technical information generated by Moodle or the hosting system.
4. QR-based attendance
Some classes may use a time-limited or rotating QR code. Students must use their own authenticated Moodle account when submitting attendance.
Scanning a QR code alone does not conclusively establish physical presence. The resulting authenticated record, applicable session controls, and instructor oversight remain relevant.
5. Attendance window
An electronic attendance session may be available only for a limited period. Students are responsible for attempting attendance within the specified session period. A genuine technical difficulty should be reported promptly.
6. Student responsibilities
Students must use only their own account, record only their own attendance, follow session instructions, report genuine technical failures promptly, and provide accurate information when requesting correction.
7. Prohibited attendance practices
- Submitting attendance for another student;
- asking another student to submit attendance for you;
- sharing account credentials;
- distributing attendance passwords or QR information for unauthorized use;
- knowingly using a QR code outside the legitimate attendance process;
- manipulating network, device, software, browser, or other technical mechanisms for the purpose of falsifying attendance; or
- otherwise interfering with the integrity of the attendance system.
8. Technical limitations
Electronic attendance systems are useful administrative tools but are not infallible. Connectivity problems, device failure, expired authentication, temporary Moodle/server unavailability, or other technical circumstances may affect attendance recording.
A digital record should therefore not automatically be treated as conclusive where credible contrary evidence exists.
9. Instructor review and correction
The instructor retains authority to review attendance associated with the course. A record may be corrected or annotated where supported by confirmed technical failure, verified presence, authorized absence, incorrect submission, system error, evidence of proxy attendance, duplicate or anomalous records, or another legitimate academic or administrative circumstance.
10. Reporting a discrepancy
Students should report an attendance discrepancy as soon as reasonably possible. The report should preferably include student name, course, class/session date, approximate session time, a brief description of the problem, and a relevant screenshot or other supporting information where available.
Students must never send their Moodle password.
11. Retention of attendance information
Attendance information will be retained for the period reasonably necessary for teaching, academic administration, attendance verification, resolution of disputes, applicable University requirements, or legal obligations. A more specific retention schedule may be adopted when appropriate.
12. Status relative to official University records
Digital Classroom supports attendance management for courses taught or administered by Prof. Pankaj Goyal. It does not, by itself, alter any requirement that an official attendance record be maintained or submitted through another University process where such a process is prescribed.
13. Academic consequences
Digital Classroom attendance records may inform course-level attendance administration, but any disciplinary, eligibility, examination, or other significant academic consequence remains subject to applicable University rules and competent academic review.
14. Contact
Attendance concerns should first be directed to the course instructor. Technical issues may be submitted to:
